Gym management software price in India (2026 guide)

A gym on Varzish Mate Starter for 12 months pays about ₹19 a day, or about ₹23 per member for the year at 300 members, before 18% GST. For that you get every feature (Auto reminders start after the trial): members, payments, a ledger, PDF receipts, reminders in English or Hindi, trainer and owner roles, and a web console. The trial is 30 days with every feature and no card, so you can judge it before you pay.

Across the market, gym management software in India runs from free to a few hundred rupees a month, and large chains pay through quotes. Price follows the category more than the brand. This guide shows what you get for the money, the four categories, the costs that are not on the price tag, and how to check whether the software pays for itself in your gym.

What Varzish Mate costs and what it includes

Varzish Mate is a subscription app. Every feature is on every plan. The plans differ in how many members and staff you can add and in the monthly credits for Auto reminders, and 18% GST is added at checkout.

  • Starter for 12 months is ₹6,999, about ₹19 a day.
  • For a gym with 300 members on Starter for 12 months, it is about ₹23 per member for the whole year.
  • Growth and Pro cost more and raise the member and staff caps. See the pricing page for the current figures.
  • There is no message bill. Reminders you send from your own WhatsApp are free. Auto reminders, sent by Varzish Mate, use credits that come with your plan each month: 500 on Starter, 1,000 on Growth and 2,000 on Pro.

You can sign in with your phone number and add your first member today.

Price bands by category

We do not list other vendors' prices here. They change, and a number we print today can be wrong next month. The bands below describe how each category usually charges and what it usually gives you. Every vendor's own pricing page is the only source for its price.

Category How it charges Usually includes Often lacks
Free and ad-supported apps No fee, or a free tier with paid upgrades Basic member list, simple attendance, some reminders Data export, support, a web screen, an ad-free app
One-time licence apps A single payment for a fixed number of years Unlimited members, reports, reminders Ongoing support terms, a clear price after the licence ends
Subscription apps A monthly, 6-monthly or yearly fee Updates, support, plan tiers by member or staff count Some features sit on higher tiers
Enterprise ERP Quote after a demo Many branches, access-control hardware, CRM, inventory A price you can see, and a quick start for a small gym

Free and ad-supported apps

Free is fine for a gym with a few dozen members that only needs a list. The cost shows up later: ads on the screen you hand to a trainer, limits on members, and no way to get your data out when you want to leave. Our page on free gym management software has a checklist for testing any free app.

One-time licence apps

You pay once and use the software for one, two or five years. That looks like a low yearly cost, and it can be. Check three things: what happens at the end of the term, whether updates and support continue, and whether the licence is tied to one phone or one computer.

Subscription apps

You pay by the month or by a 3, 6 or 12 month plan, and the longer plans are cheaper per month. Plans are usually tiered by the number of members or staff. This is the category Varzish Mate is in. You can stop whenever you choose, and the software keeps getting updates while you pay.

Enterprise ERP on request

Chains, franchises and gyms that want turnstiles or door machines buy this category. Prices come after a demo and depend on members and locations. If you run ten gyms, it is the right shelf.

Hidden costs to ask about

The headline price is rarely the full cost. Ask the vendor about each of these before you pay.

  • WhatsApp or SMS credits. Some tools charge per message or sell credit packs.
  • Hardware at the door. Machines that scan a member and open the gate are bought separately, often with installation and a support contract. The software price does not include them.
  • GST at 18%. Software sold as a service carries 18% GST. Vendors usually quote before GST. A figure of 1,000 becomes 1,180 at checkout, so compare like with like.
  • More members or staff. Tiers by member or staff count mean a growing gym moves to a higher tier. Find the cap before you pick a plan.
  • Setup, migration and support. Moving your existing register into the software, or getting a person on the phone, can be extra.

Does the software pay for itself?

For most gyms, what matters more than the price is whether the software recovers more money than it costs. The usual source is late payers: members who forget, get a message too late, or never get one. A tool that tells you who is due and drafts the message makes it easier to collect.

Here is an example with made-up numbers. A gym has 300 members paying an average of ₹1,000 a month. If the app helps you collect from 5 late payers a month who would otherwise have drifted away, that is ₹5,000 a month. Compare that to the yearly price above, with GST added, and the software is paid back in the first couple of months.

Put your own numbers in. Use honest ones: how many members you have, what they pay on average, and how many late payments you would realistically recover in a month.

Members who pay because a reminder reached them, and would not have paid that month otherwise.

At these numbers it pays for itself in about 1.7 months.

Extra money recovered each month
₹4,000
Software cost each month (Starter, 12 months)
₹583 or ₹688 with 18% GST
Paid upfront
₹6,999 + GST

Payback is the upfront price before GST divided by the extra money recovered each month. Results depend on the numbers you enter and are not a promise of what any gym will recover.

If the answer is longer than a year, a register or Excel sheet may do for now. That is a fair result.

How to choose between categories

  1. One gym, one owner, you want to start today. A subscription app with a free trial.
  2. A handful of members and no budget. A free app, but run the checklist first.
  3. Several locations, or machines at the door. Enterprise ERP, and be ready for a demo-led process.
  4. You hate renewals. A one-time licence, once you have read what the end of the term looks like.

Questions and answers

How much does gym management software cost in India?

It depends on the category. Free apps cost nothing but often show ads or limit features. One-time licence apps charge a few thousand rupees for a fixed number of years. Subscription apps charge a few hundred rupees a month or the same spread over a 3, 6 or 12 month plan. Enterprise software is priced on request.

Is GST charged on gym management software?

Yes. Software sold as a service carries 18% GST, and most Indian vendors show prices without it and add it at checkout. Always check whether the figure you see is before or after GST. Varzish Mate prices exclude GST and 18% is added at checkout.

Is a one-time licence cheaper than a subscription?

Not always. A one-time licence usually covers a fixed number of years, then you pay again. A subscription costs more per year but normally includes updates and support. Compare the cost per year over the same period, and ask what happens when the licence ends.

What hidden costs should I look for?

Message credits for WhatsApp or SMS, hardware at the door such as readers and the machines that connect to them, extra charges for more members or staff, paid data migration and paid support. Ask for each one in writing before you pay.

What does Varzish Mate cost?

Starter is priced per 3, 6 or 12 months and all features are on every plan, with more Auto reminder credits on bigger plans. The current prices are on the pricing page. The 30-day trial needs no card, and 18% GST is added at checkout.
