Gym batch management app: batches, timings and capacity
Set up morning and evening batches with days, times, capacity and a trainer. See who is in each batch and filter check-in by batch.
A gym batch management app should show you each timing, who is in it and how full it is. In Varzish Mate you set up batches with days, start and end times, a capacity and a trainer, move members into them, and filter check-in by batch. Start the 30-day trial with no card and add your first batch in a minute.
Set up a batch
Open Batches & timings in the club setup and tap New batch.
- Batch name, such as "Morning" or "Ladies evening".
- Days. Tap the days it runs, Monday to Sunday.
- Starts and Ends. Pick the times.
- Capacity. The number of people the batch can hold. It must be at least 1.
- Trainer on floor. Pick one of your trainers, or type another name.
Save. To change a batch later, tap it and edit. From the same sheet you can pause a batch, for a holiday or a closed slot, and resume it. A paused batch shows "Paused since" its date and is left out when you pick a batch for a new member.
The screen groups batches into Morning, Afternoon and Evening by start time, and has a Weekdays and Weekend switch. Each row shows the time, the capacity bar and the count, such as 37 / 50. When a batch is nearly full and another running batch has room, a line says that new joins default to that one.

Who is in a batch
Tap Who's in on a batch row. A sheet lists the members in that batch, with their plan and an Owes mark where someone has a balance, and a search box for the name. This answers the question the capacity bar raises: which 37 are these.
Put members in a batch
When you add a member, the batch is one of the steps. The picker lists running batches and starts on the emptiest one, so new joins spread out. You can pick another, or leave it empty, since a batch is optional. On an existing member, the edit form lets you change the batch or clear it.
To move many at once, select members on the Members screen and tap Move to batch. You can also filter the Members list by batch first.
If you pick a batch that is full, the app asks "Add them anyway?" and lets you go ahead. The server does not refuse either, so capacity is only a warning that you can override.
Check-in by batch
The check-in screen lists the members of whichever batch is running now first, under a heading such as "Now · Morning", and counts people arriving up to 30 minutes early. A batch filter above the list narrows it to one batch, or to members with no batch, and tells you how many of the day's members are showing. See attendance for how check-in itself works.
Who this is for, and what it does not do
This suits gyms and studios that run fixed slots, such as morning and evening batches, and want to see how full each one is.
It does not book people into a slot for a single day, and it does not stop a batch going over capacity. A member is in one batch at a time. Setting up and editing batches is the owner's job; trainers can see batches and move members into them, so a trainer at the desk can place a new member.
Questions and answers
What can I set for a batch?
A name, the days it runs, a start and end time, a capacity and the trainer on the floor. You can also pause a batch and resume it later.
Can I see who is in a batch?
Yes. Each batch row has a Who's in button that lists its members and lets you search them by name. The row also shows how full the batch is, for example 37 / 50.
What happens when a batch is full?
The app warns you and asks 'Add them anyway?'. It does not block you, because a hard stop with a paying member at the desk is worse than one extra person in the batch.
Can I filter check-in by batch?
Yes. The check-in screen has a batch filter above the list, and members of the batch that is running now are listed first.
Can I delete a batch that has members in it?
No. A batch can be deleted only when it has no active members. The app tells you how many are still in it, so you move them first.
Can a member be in two batches?
No. A member has one batch, or none. Picking a batch is optional when you add a member.
