Gym management software in India: which one fits your gym
Pick gym software by how your gym runs, not by a ranking. A single gym run from a phone needs fees, reminders and a ledger it can use today. A gym that wants the gate to open for paid members needs door hardware support. A chain needs several locations in one place. This page groups the options by that need, says what each is good for, and links to each vendor's own pricing.
How to choose the best gym software for your gym
Start with four questions.
- How many locations? One, or several. Several narrows the field to chain tools.
- Do you need hardware at the door? If yes, only some vendors fit. If members check in with a QR on their own phones, or you mark attendance by hand, ignore this.
- Who uses it day to day? If it is you and a trainer on phones, the app must work well on a phone.
- Can you try before paying? A trial with real members tells you more than a demo.
Then price it properly: our price guide covers the four categories and the hidden costs. Prices change often, so each entry below links to the vendor's own page rather than quoting a number.
Small or mid-size independent gym, phone first
Varzish Mate
Who it fits: one gym run from a phone by an owner and a few trainers. A 150-member gym with monthly and 3-month plans is the typical case.
What you get:
- Sign in with your phone number and add your first member the same day. A 3-step wizard takes the details, the dates and fee, and the first payment, and a plan is optional.
- Record cash, UPI or card, renew memberships, and share a PDF receipt or member statement on WhatsApp.
- The app lists who is overdue or about to expire. It writes the reminder in English or Hindi, and you choose per reminder type: open your own WhatsApp and tap send, or let Varzish Mate send it automatically within your plan's monthly credits.
- Trainers cannot see money, club setup, export or billing.
- The Money tab shows collected, pending, expenses and net, with a ledger and CSV export. A web console gives the desk a full-screen view.
- Every feature is on every plan. Plans differ by member and staff caps and monthly Auto reminder credits.
How to start today: the trial is 30 days with no card, and Auto reminders start when you subscribe. Open the pricing page to see plans; Starter for 12 months is ₹6,999 before GST, about ₹19 a day.

Before you commit
- Ask for a trial with your real members, not a demo with sample data.
- Ask how to export your data, and try it in the first week.
- Find out what is extra: message credits, hardware, support, more staff.
- Read the Play Store listing for ads and in-app purchases.

Questions and answers
Which gym management software is right for a small gym in India?
For one gym run from a phone, pick software that handles fees, reminders and a ledger without hardware or a sales call, and has a trial. Check the price on the vendor's own page, test it for a few weeks with real members, and confirm you can export your data.
Do I need software with hardware at the door?
Only if you want the gate to open for paid-up members and block expired ones. That means buying readers and linking them to software, which adds cost and setup. Many small gyms mark attendance by hand or with a QR poster that members scan on their own phones, and never need it.
Which software suits a chain or franchise?
Look for tools built for several locations with role-based access, central billing and reports. FitnessForce and Easy Gym Software both position themselves for chains, and both sell through a demo.
Are the free gym apps safe to use?
They can be, if you check what they limit. Read the Play Store listing for ads and in-app purchases, check whether you can export your data, and keep a copy of your member list somewhere else.
Does Varzish Mate do door machines, several locations or class booking?
Not today. Check-in is a QR members scan with their own phones, or a list you tap, plus a calendar, and one account runs one gym. It does not open or block a door. If you need the gate to open for paid members or a dashboard across locations, use one of the vendors in the door hardware and chains group below. If you need this, email [email protected] so we know how many gyms ask.
How did you check the facts about other software?
We read each vendor's own site or Play Store listing on 2026-10-11. Every fact on this page links to its source with the date. We print no competitor prices because they change; each entry links to the vendor's own pricing information.
