Free gym management software: what free really costs

Free gym management software usually limits members, shows ads or locks your data. Use this checklist to test any free app, and see the honest middle ground.

Varzish Mate gives every gym a 30-day trial with every feature except Auto reminders, and no card. Sign in with your phone number and add your first member today. You get reminders drafted in English or Hindi that you send from your own WhatsApp (after you subscribe, you can also let Varzish Mate send them automatically), PDF receipts to share, a Money tab with CSV export, attendance, owner and trainer roles where trainers never see money, and a web console for the desk. Members pay nothing and install nothing.

Free gym management software elsewhere rarely costs nothing. You pay in a member cap, in ads on the screen where you handle money, in a locked export, or in the one feature you needed behind an upgrade. If you run a small gym and want basic tracking, a free tool can be a fair start. This page shows what a full trial gives you, then a checklist to test any free app in about 20 minutes.

A full trial beats a limited free plan

A trial of the real product answers your question better than a limited free plan, because you test the features you would pay for. No feature is held back on any plan: the tiers differ only in how many members and staff you can add.

After the trial, the price is on the pricing page. On the yearly Starter plan it works out to about ₹19 a day, or about ₹23 per member per year for a gym with 300 members. GST of 18% is added at checkout.

A checklist to test any free gym app

Before you type in 100 members into any app, spend 20 minutes on a test with five fake ones.

  1. Add five test members with different plans and start dates. Is it fast enough to enter 150?
  2. Make one overdue. Does the app list who is overdue by days, without you searching?
  3. Send a reminder. Does it write the message, in the language your members read? Does it use your own WhatsApp number, or does it tell you which number it sends from?
  4. Record a payment by cash and by UPI. Do you get a receipt you can share as a PDF?
  5. Find the totals. Collected, pending, expenses and net for the month, without a spreadsheet.
  6. Export everything. Members and payments, to a file you can open elsewhere.
  7. Add a trainer. Can they mark attendance without seeing money?
  8. Look at the screens for ads, and at the member cap in the plan details.
  9. Read the privacy policy. Who owns the member list, and where is it stored?
  10. Ask support a question and see how long a reply takes.

If an app fails 3 or more of these, it will cost you time later.

The free options, honestly

Option Good for Costs you
Paper register Under about 50 members, one person Hours of reading, no reminders. See the register comparison
Excel or Google Sheets One owner who likes formulas Broken formulas, no staff access control. See the Excel comparison
Free or ad-supported apps Basic tracking to try Ads, caps, missing exports; verify with the checklist
A full free trial Seeing the real product A decision at the end of the trial

What free plans usually limit

Free gym apps and plans differ, but they tend to hold back the same things:

  • Members. A cap such as the first batch of members, then a paywall.
  • Ads. Banners or pop-ups on screens where you record payments.
  • Reminders. Kept for paid plans.
  • Receipts and reports. Shown on screen but not shareable, or watermarked.
  • Export. You can put data in and cannot get it out.
  • Support. A help page and no person.
  • Staff. One login, so a trainer uses your phone and sees everything.

None of this is wrong for a business to do, but "free" then gets you a sample of the product.

For the day-to-day picture, see the gym management app, gym billing software and the fee reminder app.

Questions and answers

Is there free gym management software for a small gym?

Yes, several apps and spreadsheets are free. Most limit the number of members or features, show ads, or charge for the parts you need most, such as reminders or exports. Test any of them with the checklist on this page before you enter your members.

Is Varzish Mate free?

It is free for 30 days with every feature except Auto reminders, and no card. After that it is a paid subscription, priced on the pricing page. Members never pay and never need to install anything.

Can I get my data out of a free app?

Ask before you start. Check that you can export members and payments to a file. In Varzish Mate the Money tab exports the ledger as CSV.

Do member receipts carry GST?

No. Receipts to members show the payment and carry no GST. The only GST invoice is the one Varzish Mate issues for your own subscription.

Is an Excel sheet free gym software?

It costs nothing if you already own Excel, and it is a fair free option for a small gym. It has no reminders, no receipts and no staff roles. See the Excel comparison.

What is the catch with ad-supported gym apps?

The ads sit in front of your screen and your members' details can be used to serve them. Read the app's privacy policy and Play data-safety section before adding members.
