Bulk message gym members on WhatsApp, one tap at a time
Select members, pick a fee or expiry message, and walk through them in your own WhatsApp: preview each one, tap send or skip. Not a broadcast tool.
Bulk messaging in Varzish Mate means choosing a group of members and walking through them in your own WhatsApp. You pick the members and a message, the app opens WhatsApp with the text typed for the first member, and you tap send, then move on to the next. It is quick for a fee chase but is not a broadcast tool: nothing leaves your phone unless you tap send. Start the 30-day trial with no card.
Select the members
Go to Members. Use the segment pills (Owes money, Expiring 7d, Gone quiet, New 30d) or the filters (status, plan, batch, fees, joining date) to bring up the group you want. Then long-press a member to start selecting, or tick the checkboxes. All selects everyone on the page, and one pass takes up to 100 members. If more are on the list, the app says the first 100 are selected.
The selection bar at the bottom has Move to batch, Assign workout and Message. The Message button is shown only to the owner; for a trainer it is absent.

Pick the message
Tap Message. The app asks which message to send for these members. There are six:
- 3 days after due date
- 7 days after due date
- 14 days, final notice
- 7 days before expiry
- Day of expiry
- Chase everyone who owes
These are fee and expiry messages. They fill in the member's name, your gym's name and the amount or date for you. The app does not have a free-text announcement for the whole gym.
You can edit the wording of each message under Reminders in the club setup. The same screen has a Message language switch, English or Hindi, and the messages follow it. Messages you wrote yourself stay as you wrote them. The fee reminder page covers the messages and the automatic option in more detail.
Walk the queue
The app builds the queue and shows one member at a time: the member's name, your place in the queue (such as "3 of 26"), and the exact message.
- Tap Open WhatsApp. WhatsApp opens on that member's chat with the message typed.
- Read it, change it if you like, and tap send in WhatsApp.
- Come back to Varzish Mate for the next member, or tap Skip to leave someone out.
A member counts as sent only when WhatsApp actually opened. When you finish you see a count such as sent and skipped, and the members left out are explained: no phone number, or already messaged today. Phone numbers are read as Indian numbers.
What has been sent
Every message you open is recorded. Reminders in the club setup has a What has been sent list with the member, the kind of message, WhatsApp and the date, and a running total. It also stops a member being messaged twice on the same day.
Who this is for, and what it does not do
This suits an owner who wants to chase fees or warn about expiries without typing the same message thirty times, and who wants to read each message before it goes.
It does not send in the background, schedule messages for later, or send from a Varzish Mate number when you use this route. It does not attach files or run a broadcast list. It is owner-only. If you want reminders to go out without you opening WhatsApp, that is the separate Auto reminder option, which sends from Varzish Mate's business number within your plan's credits, described on the fee reminder page. Trainers do not have access to bulk messaging; see trainer access.
Questions and answers
Does it send all the messages at once?
No. The app opens your own WhatsApp with the message already typed for one member, and you tap send in WhatsApp. Then you move to the next member. Nothing is sent in the background and nothing is sent from a server.
How many members can I message in one go?
Up to 100 selected members in one pass. Select them on the Members screen, using a filter first if you want a group such as Owes money or Gone quiet.
Can I write any message I like?
You choose from six fee and expiry messages: 3, 7 or 14 days after the due date, 7 days before expiry, the day of expiry, and a chase for everyone who owes. You can edit the wording of each one and choose English or Hindi.
Can I skip someone?
Yes. You see each message before it goes, and Skip moves on to the next member without sending. Only the members you actually opened are counted as sent.
Who gets left out automatically?
Members with no phone number, members already messaged today, and blocked or inactive members. For the overdue messages, members who no longer owe anything are left out too. The app tells you how many were skipped and why.
Can I see what I sent?
Yes. Open Reminders in the club setup and tap What has been sent for a list with the member, the message, the channel and the date.
Can a trainer use it?
No. Bulk messaging is owner-only.
