Gym fee reminder message builder: pick the situation, copy the text
Build a gym fee reminder message in English or Hindi for due, overdue, expiring and expired members, or a festival offer. Pick a tone, copy it or open WhatsApp.
Pick the situation, the tone and the language, then add the member's name, your gym name, the amount and the date. The message is ready to copy, or to open in your own WhatsApp.
How to use the builder
- Choose the situation: due in 3 days, due today, 3, 7 or 14 days overdue, membership expiring in 7 days, membership expired, or a festival offer.
- Choose a tone. Friendly is for a first nudge. Polite is for most reminders. Firm is for members who have gone quiet.
- Choose English or Hindi.
- Fill in the blanks. A gap you leave shows up as a word in square brackets, such as [amount], so you cannot send it by mistake without noticing.
- Press Copy message, or Open in WhatsApp.
Your gym name is remembered in this browser so you do not retype it. The member's name and the amounts are not stored.
Picking the right tone
A member who is one day late has usually forgotten. A friendly line is enough, and it keeps the relationship. A member who is two weeks late and has stopped coming needs a clear message with a date: pay by this day, or tell us what is wrong. The firm messages here say that without threats. Use your own judgement for members you know personally.
Hindi and English
Most members read both. Use the language they speak to you at the gym. The Hindi messages are short and use the words an owner would use, so a member does not need to decode them.
Beyond one message at a time
For a handful of late members, this is quick. For fifty, it is slow. Varzish Mate lists who is due, drafts the message in English or Hindi with the name and amount filled in, and either opens your WhatsApp for you to send or sends it for you, as you choose. There are also ready-to-copy templates grouped by situation.
Questions and answers
What should a gym fee reminder message say?
Use the member's name, the amount, and the date it was due. Say what to do next, such as pay by UPI or cash, and keep it to two or three lines. Friendly works for a first reminder; keep firm for members who are already a week or two late.
When should I send a fee reminder?
Three days before the due date, on the day, and then at 3, 7 and 14 days overdue is a pattern many owners use. Tone should get firmer as the days pass. For memberships, send a note 7 days before the end and another when it expires.
Is the Hindi written for real use?
Yes. It is short everyday Hindi, the way you would text a member, with app, WhatsApp and UPI left in English. Read the message once before you send it and change any word you would not say.
Does this send the message for me?
No. You copy the text, or open WhatsApp with it filled in, and you tap send yourself. Nothing you type is sent to a server.
Can I use the messages for a whole list of members?
The builder makes one message at a time. For a list, Varzish Mate shows who is due and drafts each message with the name and amount filled in; you read and send each one, or set a reminder type to Auto and let Varzish Mate send it within your plan's monthly credits.
