Dance and martial arts academy software for Indian academies

Dance and martial arts academy software should do three things: keep each batch's student list, record who attended, and chase the monthly fee. Varzish Mate does that for academies that run fixed batches, like a 5 pm kids' karate batch or a weekend Bharatanatyam class. You set up batches and timings, add monthly or term plans, mark attendance in one tap and share PDF receipts on WhatsApp. Reminders go to the number saved on the record, so for a child they reach the parent who pays.

Sign in with your phone number and add your first batch today. The first 30 days are free with no card, and parents install nothing.

Batches and timings

A martial arts school might run a 5 pm beginners' batch, a 6:30 pm advanced batch and a Sunday morning sparring session. A dance academy might have separate hip-hop, classical and Zumba batches. In Varzish Mate you set up each batch with its days, its time and the instructor who takes it.

Every student then belongs to the batch they attend, so one list answers "who is in the 5 pm batch".

Students, and parents who pay

Add each child as a member: name, phone, dates and fee, payment. A member record is one person with one phone number. For a child, save a parent's number there.

The phone number you save on the record is the one the reminder goes to. When the fee is due, the drafted message opens in your WhatsApp addressed to that number, or Auto sends it there, so it reaches the parent who pays, not the child.

If you want the parent's name visible, name the record your own way, such as "Aarav (son of Neha)".

Monthly and term fee plans

Academies charge in different ways: a monthly fee, a quarterly fee, an annual fee with an admission charge. Set each as a plan with its duration and amount. When you collect by cash, UPI or card, the new end date is set automatically.

Receipts are shared as a PDF on WhatsApp from the phone, which parents often want for school reimbursements or their own records.

Attendance by batch

Put the check-in QR poster by the door. Students scan it with their phones and type their number (for a child, a parent can scan with the number saved on the record), and each visit goes on that student's record. The Attendance tab shows the month as a calendar. For anyone without a phone, open check-in at the start of class, search a name and tap once. An assistant instructor can do that for you.

When a parent asks "did he attend all month?", you can look instead of guessing. When a student has stopped coming, the Gone quiet filter on the Members screen shows it with a live count.

Reminders to parents

The app finds who is overdue by 3, 7 or 14 days, or whose plan ends in 7 days or today, and drafts a message. It opens your WhatsApp with the text ready. You read it and tap send, or set that reminder type to Auto and Varzish Mate sends it within your plan's monthly credits.

Wording that works for a parent:

Hello Mrs Sharma, Aarav's karate fee for the 5 pm batch was due on 5 October. You can pay by UPI or at the academy. Thank you.

And in Hindi, with Devanagari:

नमस्ते शर्मा जी, आरव की कराटे की फीस 5 अक्टूबर को देय थी। आप UPI से या एकेडमी में जमा कर सकते हैं। धन्यवाद।

Instructors do not see your money

Add your assistant instructors as trainers. They get members, workouts and check-in. They do not see the Money tab, academy setup, export or billing. You see collected, pending, expenses and the split by plan and method, and can export CSV.

What you pay

Try it free for 30 days with no card. The Starter tier covers 500 members and 3 staff at ₹6,999 for 12 months, plus 18% GST, which is ₹19 a day. Every tier has every feature. See the free tools for owners too.

Questions and answers

Can I send fee reminders to a child's parent?

Yes. Record the child as the member and save the parent's number on the record. A record holds one phone number, and that is the number the reminder goes to.

Does it track belts or grades?

No. Varzish Mate does not track belts, grades or exam levels. It keeps batches, student records, fees and attendance.

Is there class booking, a waitlist, seat limits, drop-in passes or a parent app?

No. Students belong to a batch and pay a monthly or term fee. There is no booking, waitlist, seat limit, drop-in pass or parent login. You send reminders from your own WhatsApp or let Varzish Mate send them, and parents install nothing.

Does it do video classes or run more than one branch?

No to both. It does not host video classes, and one account runs one academy. If you need this, email [email protected] so we know how many gyms ask.

Can an assistant instructor mark attendance without seeing fees?

Yes. Instructors added as trainers get members, workouts and check-in. Money, setup, export and billing stay with the owner.

Can I send the reminder in Hindi?

Yes. You choose English or Hindi for the reminder message. The rest of the app is in English.
